What an Offer Letter Format Is

An offer letter format states the role, the date of joining, who the person reports to, and the pay. This page opens with a filled full-time example, including annual CTC and probation, plus a blank letter and an internship example with a monthly stipend. Print it or save a PDF in the browser.

A real offer is sent by the employer on company letterhead and signed by someone authorised to hire. This page only drafts the wording. It does not create an employment contract. Names in the example are fictional, and the letter is not uploaded.

How to Fill the Offer Letter

  1. Load the full-time example, the internship example, or start blank.
  2. Replace the company, the HR signatory, and the candidate's name and address.
  3. Set the designation, department, work location, reporting manager, and date of joining.
  4. For a full-time role, enter annual CTC and the probation length. For an internship, enter the monthly stipend and how long it lasts.
  5. Add an expiry date if the candidate must accept by a certain day. Then print, copy, or download a PDF.

CTC, Probation, and the Appointment Letter

Annual CTC is the yearly cost to company, not the monthly take-home pay. Put the figure HR will stand behind, and attach a salary breakup separately if you use one. Probation of three or six months is common. It is not a legal minimum, and your company's policy controls it.

The draft says other terms will follow in an appointment letter. Use that later letter for duties, confidentiality, and the notice the employee must give if they resign. A candidate who is leaving another job can draft that notice with the resignation letter format. For a bill to a client, use the invoice template instead of an offer letter.

Frequently Asked Questions

Does this offer letter format include an internship?

Yes. Load the internship example, or switch Offer type to Internship. The letter then uses a monthly stipend and a duration instead of annual CTC and probation.

Is CTC the same as in-hand salary?

No. CTC is the yearly cost to company before tax and other deductions. The draft says a salary breakup can be attached. Do not type a take-home figure in the CTC field.

Can a candidate treat this download as a job offer?

No. The PDF is a format. An offer comes from the employer, on its letterhead, signed by a person allowed to hire.

Where is the letter saved?

Only in this browser tab until you print, copy, or download it. Closing the tab clears the form.

What if the offer has no expiry date?

Leave Offer valid until empty. The letter then omits the expiry sentence and still asks the candidate to sign and return a copy.
